Team and seats

Invite people to your organization, choose their roles, and manage editor seats

Everything you build in Draftbit belongs to an organization. Its apps, plan, and credits are shared by everyone in it. When you sign up, Draftbit creates an organization for you and makes you its Owner. If you belong to more than one organization, switch between them by selecting the organization name at the top of the sidebar.

Select Team in the sidebar to see who’s in your organization. The page lists every member with their role and the date they joined, and shows how many editor seats you’re using. Owners and Admins also see pending invitations there.

Draftbit staff can also assign an Expert role. Experts have the same app access as Editors and don’t use an editor seat. You won’t see this role in your own invite or role menus.

Only the Owner can change roles. On the Team page, pick a new role from the member’s Role menu.

The Owner can hand the organization to another member. Select Make Owner next to that member, then Transfer Ownership. They become the Owner and you become an Admin.

Owners and Admins can invite people by email:

  1. On the Team page, select Invite Team Members.
  2. Enter up to 10 email addresses, separated by commas or new lines.
  3. Choose a Role: Viewer, Editor, or Admin. Invitations start as Viewer.
  4. Select Invite.

Each person gets an email with a link to join. The link asks them to sign in, or to create an account if they’re new to Draftbit, and then takes them to their invitations, where they select Accept.

Pending invitations appear under Pending Invitations on the Team page, with their role, who sent them, and when. Select Resend to email an invitation again, or Revoke to cancel it. Invitations expire 60 days after they’re first sent. Resending one doesn’t extend that.

Every Owner, Admin, and Editor uses an editor seat. So does each pending invitation for an Editor or Admin. Viewers and Experts don’t use seats.

With annual billing, additional seats cost 20% less: $8 per seat per month on Standard and $16 on Pro.

On Free, Standard, and Pro, the Owner takes the included seat. To bring in an Editor or Admin, add a seat first.

There’s no cap on how many seats you can add to Standard or Pro. The Owner or an Admin can change them:

  1. Select Billing > Plan in the sidebar.
  2. On your current plan, enter the number of seats you want in Additional editor seats. The card shows the extra monthly cost.
  3. Select Update Plan, review the summary, and confirm.

New seats are available right away. Adding seats starts a new billing period that day, and unused time on your current period is credited. If you lower the number of seats, the change takes effect at the end of your billing period.

On the Free plan, set Additional editor seats on the Standard or Pro card before you upgrade.

If a plan change is already scheduled, the Plan page shows a Pending Subscription Change banner. Select Cancel Change before you change seats. If your plan shows Managed by Draftbit, contact Draftbit to change your seats.

When every seat is taken, Editor and Admin are unavailable in the invite dialog and marked (seat limit reached). You can still invite Viewers. If you try to invite more Editors or Admins than you have open seats, Draftbit tells you how many more you can invite.

If seats run out before someone accepts an Editor or Admin invitation, they can’t join until a seat opens up.

To free a seat, revoke a pending Editor or Admin invitation, remove a member, or have the Owner change a member to Viewer.

Your organization can end up with more editors than seats, for example after you lower your seat count or move to a plan with fewer seats. When that happens:

  • The seat count on the Team page turns red and says Over limit.
  • Every member except the Owner and any Experts sees Editor Seat Limit Reached when they open an app, and can’t work in it.

To restore access, add seats, revoke pending Editor or Admin invitations, remove members, or have the Owner change some members to Viewer.

Owners and Admins can remove anyone except the Owner. On the Team page, select Remove next to the member, then Remove Member. They lose access to the organization and its apps, and you can invite them again later.

To leave an organization yourself, select Organization > General in the sidebar, then Leave Organization. The Owner has to transfer ownership before leaving.
